8 Commercial Terms to Ask About When Renting Turnkey Event Technology

Short answer: When sourcing from a single supplier, these points should be clear in writing in the quote: scope of service (setup, testing, staff, teardown), setup timing, number of on-site staff, who handles out-of-town travel and accommodation, the technical infrastructure expected from the venue, payment terms, cancellation/postponement terms and how attendee data will be handled. 1. Scope: are setup, testing, staff and teardown included?

"Equipment rental" and "turnkey service" are not the same. Does the quote cover only the equipment, or also setup, technical testing, operation throughout the event and teardown? Items added later are what hurt budgets most.

At MetasoftCo: Setup, technical testing, event-day operation and teardown are part of the service; we don't drop off equipment and leave.

2. When is setup done and how long does it take?

When the venue opens to you determines setup timing. Knowing the supplier's setup time makes it easier to plan with the venue and other suppliers.

At MetasoftCo: Depending on your preference, we set up the day before the event or on the event day, 3–4 hours before the start. Setup time varies by device but averages 30–40 minutes.

3. How many technical staff will be on site?

With a single operator, the activation stops when that person takes a break or something fails. Ask how many people will be on site and whether they can handle technical issues.

At MetasoftCo: At least two technical staff are on site on event day.

4. Who handles out-of-town travel, transport and accommodation?

For out-of-town events, most of the budget difference comes from transport and accommodation. Make sure these items are listed separately in the quote and it is clear who organizes them.

5. What is expected from the venue?

If requirements such as power, internet, floor space and surface are not known before event day, problems only surface during setup. Ask the supplier for a written requirements list and share it with the venue.

6. What are the payment terms?

In corporate procurement, payment terms are a supplier selection criterion. Ask about the deposit and the due date of the balance at the quote stage.

7. Are cancellation and postponement terms in the contract?

Event dates can change. Having the terms for a date change or cancellation written into the contract prevents surprises for both sides.

8. If attendee data is collected, how is KVKK compliance handled?

If data such as email or phone numbers will be collected during the activation, the privacy notice, explicit consent step, and where and how long data is stored should be agreed in advance.
